  • Payment and transaction      information,      including billing address, payment status, transaction identifiers,      deposits, refunds, and purchases. Complete payment-card details may be      collected directly by our payment processor rather than stored by us.
  • Health, dietary, and      accessibility information that      you voluntarily provide and that is reasonably necessary to accommodate      allergies, dietary requirements, accessibility needs, or participation in      retreat activities.
  • Communication information, including messages, inquiries,      feedback, survey responses, reviews, and records of communications with      us.
  • Marketing preferences, including newsletter subscriptions and      consent choices.
  • Website and device      information,      including IP address, browser and device type, operating system, referring      pages, pages viewed, approximate location, access times, and interactions      with the Website.
  • Photographs or recordings when you separately agree to their      creation or use.
  • Other information that you voluntarily provide to us.

Please do not provide sensitive personal or medical information unless it is reasonably necessary for your reservation, safety, accommodation, or participation in an activity.

2. How We Collect Information

We may collect personal information:

  • Directly from you through reservation,      inquiry, contact, registration, waiver, newsletter, survey, or feedback      forms.

  • Automatically through cookies and similar      technologies when you use the Website.
  • From someone making a group reservation      on your behalf.
  • From booking platforms, travel agents,      event organizers, payment processors, or other partners where you have      authorized the disclosure or where the law permits it.
  • From publicly available sources, when      permitted by law.

If you provide personal information about another person, you confirm that you have authority to provide it and, where required, have obtained that person's consent.

3. Why We Use Personal Information

We may use personal information to:

  • Respond to inquiries and provide      requested information.

  • Improve our Website, accommodations,      activities, and guest experience.
  • Conduct analytics and understand how      visitors use the Website.

  • Detect, investigate, and prevent fraud,      unauthorized transactions, security incidents, and misuse.
  • Enforce our agreements, policies,      waivers, and legal rights.
  • Meet tax, accounting, insurance, health      and safety, regulatory, and other legal obligations.
  • Carry out any other purpose identified      when the information is collected or otherwise permitted by law.

We limit collection, use, and disclosure to purposes that a reasonable person would consider appropriate in the circumstances.

4. Consent

We obtain consent where required by law. Consent may be express or implied, depending on the nature and sensitivity of the information and the reasonable expectations of the individual.

You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect our ability to provide a reservation, accommodation, activity, or other requested service. It does not affect processing already lawfully completed.

To withdraw consent, contact our Privacy Officer using the details in Section 16.

5. Reservations and Payments

Reservations may be processed through godaddy.com and payments may be processed through godaddy.com, paypal, or any payment processing you choose to use through godaddy.com. These providers may collect personal and financial information under their own privacy policies and terms.

We do not intend to store complete payment-card numbers or security codes when payment information is submitted directly to a third-party payment processor. We may retain limited transaction information, such as the payment amount, date, status, payment method, and transaction identifier.

6. Disclosure of Personal Information

We do not sell personal information. We may disclose it to:

  • Booking, property-management, payment,      accounting, email, website-hosting, analytics, information-technology,      security, and customer-support providers.

  • Professional advisers, including lawyers,      accountants, insurers, and auditors.
  • Emergency responders, health      professionals, or public authorities where necessary to protect life,      health, or safety.
  • Government, regulatory, tax, or      law-enforcement authorities where required or permitted by law.
  • A purchaser, investor, lender, or      successor organization in connection with a proposed or completed sale,      financing, merger, reorganization, or transfer of all or part of our      business, subject to appropriate safeguards.
  • Other parties with your direction or      consent.

Service providers may use personal information only for the services they perform for us or as otherwise permitted by law.

7. Cookies and Analytics

The Website may use cookies, pixels, tags, local storage, and similar technologies to:

  • Enable essential Website functions.
  • Remember settings and preferences.
  • Maintain security and prevent fraud.
  • Measure Website traffic and performance.
  • Understand how visitors use the Website.
  • Support advertising or social-media      features, where applicable and permitted.

We use or may use tools, such as Google Analytics, Meta Pixel, embedded YouTube, or a booking widget. These providers may collect device, usage, and approximate location information and may place their own cookies.

You can control cookies through the Website's consent tool, where available, and through your browser settings. Blocking certain cookies may affect Website functionality. Non-essential cookies should not be activated before any consent required by applicable law has been obtained.

8. Email and Electronic Marketing

We send promotional electronic messages only with consent or where otherwise permitted by law. Each promotional email will include an unsubscribe mechanism.

Unsubscribing from marketing does not prevent us from sending transactional or service messages relating to an inquiry, reservation, payment, safety issue, or other ongoing business relationship.

9. International Processing

Some service providers may store or process personal information outside Ontario or Canada, including in the United States. Information processed in another jurisdiction may be accessible to courts, law-enforcement agencies, or government authorities under that jurisdiction's laws.

We use reasonable contractual, organizational, and technical measures when engaging service providers, but information processed abroad remains subject to the laws of the country in which it is processed.

Contact our Privacy Officer to request information about our use of service providers outside Canada.

10. Safeguards and Security

We use reasonable physical, organizational, and technical safeguards appropriate to the sensitivity and amount of information under our control. These measures may include:

  • Restricting access to authorized      personnel and service providers.
  • Password, authentication, encryption,      firewall, and access-control measures where appropriate.
  • Secure payment processing through      specialized providers.
  • Staff confidentiality and privacy      practices.
  • Secure disposal or anonymization of      information that is no longer required.
  • Incident-response procedures.

No Internet transmission, electronic system, or storage method is completely secure. We cannot guarantee absolute security, but we will investigate suspected breaches and provide notifications where required by law.

11. Retention

We retain personal information only for as long as reasonably necessary to fulfil the purposes described in this Policy and meet legal, tax, accounting, insurance, safety, and dispute-resolution requirements.

Retention periods vary according to the information and purpose. When information is no longer required, we securely delete, destroy, or anonymize it, subject to legal and technical limitations. Information contained in backups may remain until the backup is securely overwritten or deleted.

12. Access and Correction

Subject to legal exceptions, you may request:

  • Access to personal information we hold      about you.
  • Information about how we have used or      disclosed it.
  • Correction of inaccurate or incomplete      information.
  • Withdrawal of consent for certain future      uses.
  • Deletion of information that we are not      legally or reasonably required to retain.

We may need to verify your identity before completing a request. We will respond within the period required by applicable law or explain any extension or refusal.

Access may be limited where disclosure would reveal another person's information, confidential commercial information, legally privileged material, or information that cannot lawfully be disclosed.

13. Children's Privacy

The Website and our online reservation services are not intended to collect personal information directly from children under the age of 18 without the consent of a parent or legal guardian.

A parent, guardian, or authorized adult should provide information needed for a child's reservation, dietary requirements, accessibility needs, health and safety, or participation in an activity. If we learn that we collected a child's personal information without required consent, we will take reasonable steps to delete it.
